# Automation recipes for repair shops

> Seven ready-made automations a repair shop uses, from missed call follow-up to review requests, with the template to start from and what to change.

Each recipe says what it does, where to start, and what to change. New automations start off, so nothing goes out until you test it and turn it on. How to build and test one is on [Automations and workflows](/docs/mintlify/automations/workflows).

## What your shop already runs

Sapt sets these up for every shop. Look for them before you build a new one, so a customer never gets the same text twice.

| Automation | What it does |
| - | - |
| **Missed call: text back** | Texts a missed caller back from your shop line. Your AI front desk takes the reply. |
| **Missed call: voicemail to owner** | Texts you the voicemail. |
| **Website request** | Texts the customer when they agreed to texts, and texts you the request either way. |
| **Review request** | Texts a customer your review page when you start it from them. |
| **Review request: job done** | Texts your review page two hours after a job is marked done. Starts off. |
| **AI: tell the owner** | Texts you when a customer needs a person or the AI takes a request. |
| **AI: booking to owner** | Texts you every booking Sapt makes. |
| **Bad review: Google** and **Bad review: private feedback** | Texts you about a rating of 3 stars or fewer. |
| **Weekly report** | Emails you a link to last week's results every Monday at 7 AM. |

To change the words in one of these, open it in **Shop**, **Automations** on your phone.

## Text back a missed call

**What it does:** texts a caller you missed, then a day later checks in once more if they never replied, and texts you to call them.

**Starts when:** a call is missed.

**Steps:** the first text is **Missed call: text back**, already on. For the day-after check-in, on your phone tap **New automation**, then **Missed call follow-up**. It waits a day for a reply. If none comes, it texts them and texts you.

**Change:** the words of the check-in. Keep it short and sign it with your shop's name.

<Warning>
  The web template **Text back a missed call** sends a first text too. If **Missed call: text back** is on, callers would get two.
</Warning>

## Follow up a website request

**What it does:** if a website request goes quiet for a day, checks in once and tells you.

**Starts when:** a website request comes in.

**Start from:** on your phone, **New automation**, then **Website request follow-up**. It shows only when your shop has a website form.

**Steps:** **Wait for a reply** (one day). No reply: **Text them** "Hi (first name), it's (your shop). Still need a hand? Reply here and we'll get you taken care of." Then **Tell me** "No reply from (first name) after their website request. Give them a call?"

**Change:** the wait, if a day is too long for your shop.

## Ask for a review when the job is done

**What it does:** texts the customer your review link after the work is finished.

**Starts when:** a job or booking is marked done.

**Start from:** **Review request: job done** is already in your list, turned off. Turn it on once your jobs get marked done in Sapt. It asks each customer only once.

On the web you can also start from the template **Job done: ask for the review**. Pick your **Google Business location**, which needs a review link, and click **Use this template**. It texts: "Thank you for choosing us! We'd love to hear about your experience. Leave a review here:" and your link.

**Change:** the template texts right away. To send it later, add a **Wait** step before the text, for example 2 hours, so they have left the shop.

## Thank them after the job

**What it does:** the day after a job is done, thanks the customer and asks for a review, once per customer.

**Starts when:** a job is marked done.

**Start from:** on your phone, **New automation**, then **Thank them after the job**.

**Steps:** **Wait** one day, then **Ask for a review**: "Hey (first name), thanks for choosing (your shop). Would you leave us a quick review?" and your review link. Customers who were already asked are skipped.

**Change:** the thank-you words. The review link comes from your shop's review page.

## Text the team when an appointment is booked

**What it does:** texts your team the time, customer, phone and service for every appointment Sapt books, by your AI front desk or your website.

**Starts when:** a new booking is created.

**Start from:** on the web, the template **Text the team when an appointment is booked**.

**Change:** under **Which teammates?**, pick who gets it. **AI: booking to owner** already texts you, so pick the rest of the team. Teammates who have not turned on texts get an email instead.

## Claim new leads, then follow up

**What it does:** texts your team first. The first teammate to reply **Y** (or tap 👍) claims the lead. If nobody claims it in 3 minutes, Sapt texts the lead and follows up twice over 48 hours, unless they reply or book.

**Starts when:** a new record is created, of any type.

**Start from:** on the web, the template **Claim new leads, then follow up**.

**Change:**

* Under **Record type**, pick the kind of lead it is for. It starts on any record type.
* Under **Which teammates?**, pick who can claim.
* The texts, in your own words.

<Note>
  **Website request** already texts customers from your website. If you pick your website request type here, they could get two first texts.
</Note>

## Welcome a first-time customer

**What it does:** when someone books with you for the first time, texts them a short welcome.

**Starts when:** a booking is made.

**Start from:** on your phone, **New automation**, then **Welcome first-time customers**.

**Steps:** **If…** **They’re a new customer**, then **Text them**: "Hi (first name), welcome to (your shop)! You're all set. Reply here any time if something comes up."

**Change:** add what a new customer should know, like your hours or where to park.
